Recording
- Record is on every screen: the microphone in the iPhone's tab bar, and Record above the tabs in the browser on a phone (first in the side menu on a computer). Long-press the iPhone's microphone for the other ways in: a quick note, importing a call or any recording, or a Teams, Zoom or Meet link.
- While it records, the strip at the bottom turns pink and has Stop, Pause and Mark. Tap the clock for the recording full screen, or swipe the strip up to see it on half the screen with a box for notes; what you type there goes into the minutes.
- Mark (the flag) marks a moment as important: tap it when something matters, and add a word or two if you like. In the browser, M marks too; in the desktop app, Ctrl+Alt+Shift+M (Cmd+Option+Shift+M on a Mac) marks from any app. With Included processing the minutes say what was said at each mark, under You marked, and marked lines are flagged in the transcript.
- Pause stops the clock and records nothing until you carry on. Stop asks what next: make the minutes now, save, or keep recording; the recording carries on until you choose.
- On the iPhone, the Dynamic Island and the Lock Screen show the time and Stop, Pause and Mark.
- The original audio stays on the iPhone that made it unless you choose Keep a copy on the server for that meeting. Up to 2 GB of originals is kept on the phone; notes, transcripts and minutes are unlimited.
- Tell everyone in the meeting that you are recording, and follow your project's rules. Settings, Meeting settings has a notice you can copy or send before the meeting.
Phone calls
No app can record a phone call made on the same iPhone. Record the call with the iPhone's own call recording (it tells everyone on the call), then share the recording from Notes to Note Metric, or use Import a call on Home.
Transcripts and minutes
- Settings, Transcripts and minutes chooses the engine: Included (through the Note Metric server, when you are signed in), On this iPhone (Apple Intelligence, on iPhones that support it) or your own OpenAI key.
- Tap Summarise now on any meeting to make its minutes straight away.
- Swearing is starred out (***) in transcripts and minutes, whichever engine writes them; the recording itself is not changed.
- Every timed line in the minutes plays back the moment it was said. A line marked Check against transcript could not be matched to the words in the recording; read it against the audio.
- Meeting type, under the meeting's name: start typing (DABS, Progress Meeting, Inspection, TDD, Dilapidation, CVR and more) or type your own. The type steers the minutes; without one, the usual type in Settings does. A Progress Meeting opens Populate minutes on its standard agenda in the browser.
- When a meeting's transcript and minutes are ready, Note Metric tells your iPhone and emails you the short version, the actions and the decisions (Settings turns either off). The iPhone asks to send notifications after your first recording.
Transcript, trim and tidy
- The Transcript tab starts with the lines. Copy copies the whole transcript with the meeting's name, the date, the length, every speaker and the times; hold it on the iPhone (or use Without times in the browser) for the text alone or to share it.
- Under the play button, Trim keeps only part of the recording: drag the two handles, tap a line to start or end there, or Cut the silence at both ends, and listen to each end before you save. Playback, the transcript, copies, search and the minutes then use only the part kept, and the minutes can be written again for it without transcribing again. Nothing is cut from the recording: Restore the whole recording brings it all back.
- Skip silence jumps the gaps of more than two seconds where nobody speaks while it plays. Hide erms takes erm, um, uh and hmm out of the transcript and what you copy or export; the transcript as heard is kept and one tap shows them again. Both are also in Settings, Meeting settings.
What is the transcript confidence?
It is how sure the transcription engine was of the words it heard, shown as a percentage: Clear, Mostly clear or Hard to hear in places. Background noise, distance from the phone and people talking over each other lower it. Underlined words in the transcript are the ones the engine was least sure of, and a line of the minutes marked Unclear audio came from a part that was hard to hear: play the line to check it against the recording. On a noisy site, transcribing the meeting again with Included processing often helps. Some engines do not report a confidence, and transcripts made before 30 September 2026 do not have one.
Finding a meeting
The Search tab finds meetings by a person, a company, a project or anything said: "cranes", "curtain wall", a name. A word finds its plural too. Each result says why it matched and shows the line, and a line with a time opens the transcript there. With nothing typed it lists recent searches and the people and companies Note Metric knows; All, Actions, Decisions and Risks narrow the results.
Speakers and people
- While any voice has no name, Name 3 voices (with the number still to name) sits beside the speakers on the transcript and opens Who's speaking?: play a line to hear who it is, then tap a suggested name or type one, and the next voice is ready. In brief on the Summary offers to name them too.
- Tap a speaker's name in the transcript (click it in the browser app) to name them on every line or only that line. Naming two voices the same joins them into one speaker.
- Names that come up in a meeting can be kept with a role, company and contact details in People on the iPhone. They sync to your account and are deleted with it.
- When you name a speaker, both apps suggest names from the meeting and from People, and a new name is added to People so the next meeting offers it.
Signing in and sync
- Sign in under Settings with the email and password you were given, or with Google or Microsoft. Accounts are by invitation while Note Metric is new; request an invite.
- Names, notes, tags, transcripts and minutes sync between your iPhone and the browser app at note-metric.com/open.
- Without an account the app still records and keeps everything on the phone.
Calendar
- What shows. On the iPhone, the Calendar tab shows the calendars on the phone (iCloud, accounts added in iPhone Settings and subscribed iCal links) and any Microsoft or Google calendar connected to Note Metric. The browser app shows the connected Microsoft and Google calendars only, because a browser cannot read the calendars on your phone. The list shows online meetings and meetings with other people over the next two weeks; Day, Week and Month show every event, with your Note Metric meetings on their days.
- Connecting Microsoft or Google. Choose Add calendar, then Microsoft 365 or Outlook, or Google, and sign in to that account to let Note Metric read its calendars. It does not change the account you are signed in to Note Metric with. Disconnect it from the Calendar sidebar or Settings at any time. Events are read when you look and are not stored.
- The switches. Each calendar has a switch. Switched off, its events stop showing in Note Metric on that iPhone or in that browser; the calendar itself is not changed.
- Remove from Note Metric. Open an event, or use Select in the list for several, and choose Remove from Note Metric: this event only, or every event with the same name in the same calendar (a weekly training session, say). Your calendar is not changed, and a tracked meeting with a recording, notes or minutes stays in Meetings. Show removed brings them back.
- iCal links. Add them on the iPhone: in the Calendar tab choose Add calendar, then iCal link. iPhone asks you to confirm the subscription, then the calendar shows in the Calendar tab with a switch like the others.
- Nothing becomes a Note Metric meeting until you track it or record it. Track puts it in Meetings, ready to record.
Connectors
Connectors bring meetings in from the platforms you meet on. Open Connectors from the menu in the browser app, or from the side menu or Settings on the iPhone. It lists the connectors that are ready to use, and each works through your Note Metric account. One you connected that is not available at the moment stays listed, with only Disconnect.
- Microsoft Teams brings in the transcript or recording of Teams meetings you organise, after they end. It works with work or school accounts, and your organisation's IT admin approves Note Metric once. Connectors has the steps and a link to send them.
- Zoom brings in the cloud recording and transcript of Zoom meetings you host, after they end. It needs a paid Zoom plan with cloud recording switched on.
- Google Meet brings in the transcript of Meet meetings you organise, after they end. It needs Google Workspace Business Standard or above, with transcripts switched on.
- Audio. Note Metric never keeps a platform's audio. A meeting brought in has its transcript and minutes, tagged with the platform's name, and no recording.
- The notetaker joins Teams and Google Meet calls as a participant under its own name, Note Metric notetaker (recording), and waits for the host to let it in. You still need to tell everyone you are recording. It cannot join Teams channel meetings or Zoom calls. Send it from a meeting with a joining link, or say yes when Note Metric asks before a tracked online meeting; it never joins by itself. The minutes appear in Meetings after the call. Switching it off stops it being sent anywhere new; one already joining or in a call stays until you make it leave from that meeting's page. To record a call without it, use Join & record in the browser, or record it on your iPhone.
- Other calls. For any call, you can record the browser tab it is in from a computer.
- Disconnecting. Choose Disconnect on the connector, then keep the meetings it brought in, or delete them too. Deleting removes the meetings it added from Note Metric on every device, and takes the transcript, minutes and speaker names it added out of meetings you tracked (your own notes and photos in those stay). It cannot be undone.
Sharing minutes
From a meeting, choose Share link, or select several meetings and tap the link button. Pick how long the link lasts (7, 30 or 90 days) and send it by Mail, WhatsApp, Teams or anything else. The person you send it to sees a read-only page with the summary, highlights, actions, decisions and risks, and can download them as a Word document or save them as a PDF; never the transcript, your notes or the recording. Every live link, how often it was opened and when it ends are under the meeting's Details, where you can withdraw it. You need to be signed in, and the meeting needs its minutes.
Exporting
From a meeting, share the minutes or save them as a PDF or text; in the browser, also as a Word document. In Meetings, tap Select to download or delete several meetings at once, or share links to them; Manage Recordings downloads every original recording at once.
Deleting your account
In the app: Settings, Account, Delete my account and server data. It removes your account and everything the Note Metric server holds for it: synced meetings, transcripts and minutes, your people directory, server copies of audio and photos, linked devices, calendar and platform connections, and notetaker records. Recordings kept on your iPhone stay there until you delete them. You can also ask by email. More in the privacy policy.
